Information we use
When you enquire or work with us, we may receive your name, contact details, property address, project requirements, budget, correspondence, appointment details, plans, measurements, photographs and records of proposals, purchases and payments. Please avoid sending information about other people or sensitive personal matters unless it is needed for your project. If a design brief needs health or accessibility information, we will agree how that information should be handled before recording it.
Our website is hosted by Wix. Information about your device and use of the website may be processed to operate and protect the site. Any optional analytics, advertising or embedded social tools must be described in the cookie information available through the website's consent settings.
Why we use it
We use enquiry and project information to answer questions, prepare proposals, arrange appointments, deliver agreed services and manage orders. Our basis is taking steps at your request before a contract or performing that contract. We use relevant records to meet legal accounting and tax obligations. We also have legitimate interests in running a secure business, keeping proportionate business records, dealing with complaints and establishing or defending legal claims; we consider those interests against your rights.
Where consent is required—for example for optional marketing, non-essential tracking or identifiable project photography used for promotion—we will ask separately. You can withdraw consent at any time. This does not affect processing that was lawful before withdrawal. An enquiry does not automatically sign you up to marketing.
Who receives information
We share only information needed for the purpose concerned. Recipients may include our authorised team; website, communications and business-system providers; professional advisers; and suppliers or trades involved in an agreed project. For a combined indoor and outdoor project, relevant details may be shared with F.B & Sons, Lawns and Landscapes Limited to scope or deliver the outdoor work. It is a separate legal company; information is not shared indiscriminately simply because the businesses are connected.
We may also disclose information where required by law or necessary to deal with a legal claim. We do not sell your personal information.
Some service providers may process information outside the UK. Before using such arrangements, we must ensure that any required UK transfer protection is in place, such as an applicable adequacy arrangement or approved contractual safeguards. You can ask us for information about the safeguards relevant to your data.
Keeping information
We keep information only as long as needed for the reason it was collected, taking account of the enquiry or project, warranties and aftercare, accounting duties and relevant legal claims. We review records and delete or anonymise information when it is no longer needed. Project photos selected for promotional use are handled according to the permission agreed with you. You can ask for information about the retention period applicable to your records.
Your choices and rights
Depending on the circumstances, you may request access, correction, deletion, restriction or a portable copy of your information, and object to processing based on legitimate interests or to direct marketing. Some rights have legal limits. Contact us using the details above; we may need proportionate information to verify your identity.
You can raise a concern with us or complain to the Information Commissioner's Office at https://ico.org.uk/make-a-complaint/. You do not have to complain to us first.
Other websites and updates
Links to our related businesses and social accounts lead to services with their own privacy notices. We will update this notice when our practices change and show the revised date here.
Member accounts and estimates
If you create a member account, we use the account and contact information you provide to operate your sign-in, manage your relationship with us and provide the account services available to you. Optional profile information should be limited to what you wish to provide. Creating an account is not consent to marketing. Personalised quotations and project documents must only be made available to their intended customer and authorised team members.
The design-budget calculator uses your selected service, room count and travel band to show an indicative starting fee. It does not require an account, take payment or submit an enquiry automatically. If you choose its email link, your email app opens with your selections; you decide whether to send that message. Enquiry information is then handled as described in this notice.
